This is the core function, focusing on the physical upkeep of the properties.
- Routine and Preventative Maintenance: Oversee and implement a preventative maintenance schedule for all building systems (HVAC, plumbing, electrical, etc.), equipment, and furniture to ensure their longevity and optimal functioning.
- Repairs and Upkeep: Coordinate and/or perform scheduled and unscheduled maintenance, repairs, and minor works on school facilities, equipment, and grounds. This includes addressing immediate repair requests.
- Contractor Management: Source, vet, and manage external contractors and tradespersons for specialized maintenance, repairs, and projects, ensuring work meets quality, budget, and safety standards.
- Grounds Maintenance: Oversee the maintenance and cleanliness of the school grounds, including landscaping, waste disposal, and exterior building upkeep.
2. Safety, Security, and Compliance
The officer plays a critical role in maintaining a secure and legally compliant educational environment.
- Health and Safety (OHS/WHS) Compliance: Ensure the facilities and all operations comply with relevant Occupational Health and Safety (OHS) and legal requirements, such as the Occupational Health and Safety Act.
- Inspections and Risk Management: Conduct regular safety and security inspections across the site, identify and investigate potential hazards, and implement corrective or preventative measures.
- Security Management: Oversee the school’s security systems, including alarms, access permits, keys, and general site security to ensure a safe environment for students, staff, and visitors.
- Emergency Procedures: Assist in the development and implementation of emergency response and business continuity plans related to the facility.
3. Administration and Resource Management
This includes the financial and administrative oversight necessary for facility operations.
- Budget Management: Oversee and contribute to the routine works and maintenance budget, manage purchasing for stock items (e.g., cleaning supplies, repair parts), and authorize expenditure in line with financial guidelines.
- Asset Management: Maintain accurate registers for school equipment, furniture, and fixed assets, including regular stocktaking and inventory.
- Record Keeping and Reporting: Maintain systems and procedures for documenting all facilities-related transactions, maintenance reports, security incidents, and health and safety compliance records.
- Space Management: Assist in the coordination of facilities for various school activities, events, and external hires, which may involve moving and arranging furniture and ensuring appropriate access.
